Information we use
- Enquiries and meetings. Your name, email, organisation, appointment details and information you choose to include when you email us or book a meeting. We receive this from you and the booking service you use.
- Website delivery. When your browser requests a page or video, our hosting and delivery providers receive technical information such as your IP address, the requested resource, request time and browser information to deliver and protect the site.
- Optional analytics. If you agree, Google Analytics processes cookie identifiers, page visits, interactions, browser and device information, referral information and approximate location to help us understand website use.
- Choices stored on your device. Your cookie preference, saved questions and starting-point selections are stored in your browser. The notes and planner features do not submit those saved choices to Apexion, installers or funding providers.
You can browse without booking a meeting or providing contact details. If you ask us to respond or arrange a meeting, we need sufficient details to do that. Please avoid including sensitive personal information or confidential documents in an initial booking.
Why we use it
- To respond and arrange conversations: our legitimate interest in handling business enquiries and developing relevant professional relationships. Where you ask us to take steps towards a contract with you, we may also rely on those pre-contractual steps.
- To operate and protect the website: our legitimate interest in delivering a reliable, secure service, diagnosing faults and preventing misuse.
- To measure website use: your consent for optional analytics. Rejecting analytics does not prevent you using the website or booking a meeting.
- To meet legal requirements: where we need to respond to a valid legal request or retain a record required by law.
This website does not make decisions about you with legal or similarly significant effects using solely automated processing.
International processing
Providers may process information outside the UK, including in the United States. Applicable protections depend on the service and destination, including UK adequacy arrangements or contractual safeguards recognised under UK data protection law.
Google explains its reliance on adequacy arrangements, the UK Extension to the EU–US Data Privacy Framework and standard contractual clauses in its data transfer information (opens in a new tab). Contact aadam@apexion.co for details of the providers and safeguards relevant to your information or to request a copy of applicable safeguards.
How long we keep it
We keep personal information only for as long as needed for its purpose. Where there is no fixed period, we use the following criteria:
- Enquiries, correspondence and appointments: whether the enquiry or project is ongoing, whether follow-up is reasonably needed, and whether records are needed for legal obligations or claims.
- Technical and security information: the time needed to deliver the service, diagnose faults, investigate incidents and meet applicable provider retention requirements.
- Analytics: the period needed to compare website use and investigate performance, subject to the retention controls in our Google Analytics account. Analytics records have a separate retention lifecycle from the browser cookies described above.
- Local preferences: the 180-day consent period and the user-controlled lifetime of saved questions and planner selections described in Cookies & your choices.
You can contact us to ask about the retention of a particular enquiry or record, or request deletion where that right applies.
Your rights
Depending on the circumstances, you can request access to your personal information, correction, deletion, restricted use or a portable copy. You can also withdraw consent at any time. These rights are subject to the conditions and exceptions in data protection law.
Your right to object
You can object to processing based on legitimate interests, explaining your particular circumstances. You can object to use of your personal information for direct marketing at any time.
To exercise a right or raise a concern, email aadam@apexion.co. We may need information to confirm your identity and locate the relevant records.
You also have the right to complain to the UK Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint (opens in a new tab). You do not have to contact us before exercising that right.
Changes to this notice
We will update this page when our website or relevant processing changes. The date above shows the latest revision. Where a change needs to be brought to your attention separately, we will do so through an appropriate channel.
